Below are answers to common questions about how virtual therapy works, insurance, scheduling, and what to expect in the process:
How does virtual therapy work?
Sessions are held online through a secure, HIPAA-compliant video platform. Session reminders and a secure video link are automatically sent prior to appointments. Clients may join sessions from a private location within New Jersey or Pennsylvania.
How can existing clients manage appointments or access their session link?
Existing clients may use the secure client portal to update contact or payment information, complete forms, manage appointments, and access their secure session link or documents. To access the secure client portal, please visit: Secure Client Portal.
Who are services provided to?
Services are provided to adults, including individual clients (18+) and couples.
Is insurance accepted?
Therapy services are in-network with most major commercial insurance plans, including Aetna, AmeriHealth, Blue Cross Blue Shield, Cigna, and UnitedHealthcare. A free benefits verification can be completed before scheduling. Self-pay options are also available.
Where can therapy session fees be found?
A complete schedule of fees for clinical therapy services is available to all current and prospective clients upon request. For those planning to use health insurance, actual out-of-pocket costs will be determined by the specific plan's contracted rates, copays, and deductibles. Is a Good Faith Estimate provided for self-pay or out-of-network clients?
Yes. Current and prospective clients have the right to receive a written Good Faith Estimate explaining the total expected cost of non-emergency therapy services before scheduling a session. For more details on these rights, please visit the official CMS Medical Bill Rights website.
Is a free consultation offered?
A free, no-pressure 15-minute consultation can be scheduled to help determine whether services are a good fit before beginning therapy.
What can be expected in the first session?
The first session focuses on understanding what brings the client to therapy, along with goals and relevant background. Clients may share at their own pace. The session also outlines what ongoing therapy may look like and answers any initial questions, helping clients leave with clarity and support.
How long are therapy sessions?
Standard therapy sessions are generally 50 minutes in length. Extended 60-minute sessions may be utilized as clinically necessary, contingent on specific insurance or EAP requirements.
How often do sessions occur?
Most clients meet weekly, though frequency may vary based on clinical goals, scheduling availability, and specific insurance or EAP guidelines.
How soon can appointments be scheduled?
Scheduling is based on current availability, and sessions are arranged at a mutually agreeable time.
What is the cancellation policy?
Appointments may be canceled or rescheduled without charge with at least 24 hours’ notice. Late cancellations or missed appointments may result in a $50 cancellation fee. Insurance does not cover this charge, and EAP coverage may vary. Exceptions may be considered in cases of extenuating circumstances. For clients with a reduced-fee agreement, the cancellation fee will not exceed the contracted session rate.
What if a client is running late?
If a client arrives within 15 minutes of the scheduled time, the session may be shortened. If a client arrives more than 15 minutes late, the session may need to be rescheduled and may be considered a no-show.
How can the therapist be contacted between sessions?
Non-urgent communication may occur by voicemail, email, or text. Responses are typically provided within two business days. Electronic communication should be limited to scheduling or general questions.
Are therapy sessions confidential?
Therapy sessions are handled in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and applicable privacy laws to help protect confidentiality.
What should be done in an emergency?
Please note that Work and Life Solutions LLC is not an emergency service. If you or someone else is experiencing an emergency, please call 911 or go to the nearest emergency department. If you or someone else is experiencing a mental health crisis but is not at imminent risk of harm, please call your county crisis screening center or 988, the Suicide & Crisis Lifeline.
Where can services be provided?
Services are available to clients located in New Jersey and Pennsylvania.
What is the therapy approach?
Therapy is integrative and present-focused, combining evidence-based strategies with somatic-informed and skill-based techniques to support stress management, problem-solving, and improved day-to-day functioning and decision-making.
How does couples therapy work?
Couples therapy follows a structured, phase-based process that begins with understanding the relationship context, presenting concerns, and shared values, then builds communication and boundary skills to reduce conflict escalation. Treatment also focuses on repair skills, strengthening positive relationship habits, and applying evidence-based problem-solving tools to support long-term stability.
Are sliding scale or payment plans available?
Payment plans or reduced-fee options may be available in limited circumstances. When these options are not available, referrals to low- or no-cost services can be provided.
How does payment work?
When applicable, payment is processed through autopay following each session. A valid credit or debit card is kept on file for any fees that may apply.
Are letters, reports, or forms completed upon request?
Administrative fees may apply for letters or reports requested by the client, consultation with another professional outside standard case management, or any preparation, travel, or attendance related to a court appearance. When applicable, fees will be advised in advance.
